Manage your account, workspaces and team

Switch workspaces and see what you have access to.

Updated

Your personal account is you: your sign-in, profile, preferences and security. A workspace is where work lives: its conversations, Library, credits, creator profile and members. One account can belong to several workspaces, and each workspace keeps its own work and wallet.

Your account and your workspaces

The chip at the top of Settings shows the active workspace and your role in it, for example "Northwind Studio · Admin". Select it to open Your workspaces.

  • Each workspace has its own credits. Credits never move between workspaces.
  • Drafts are saved separately in each workspace. Switching doesn't carry a draft across.
  • Membership alone doesn't open a workspace's projects, files or credentials. That needs resource access, a separate grant. See Resource access.

Switch workspace

  1. Open Your workspaces, under Settings › People.
  2. Find the workspace under Memberships.
  3. Select Switch workspace.

Wavemaker saves your draft first, then opens the new workspace. If you were in a conversation there before, it reopens it. Switch workspace appears only when you have resource access to that workspace. You can also switch from Your workspaces in the account menu.

Create a workspace

  1. Open Your workspaces.
  2. Select Create workspace and give it a name.

A new workspace starts empty, with its own wallet and no credits. You are its owner. You can own up to five workspaces.

Roles

Every member has one role in each workspace.

RoleWhat they can do
OwnerEverything an admin can, plus invite admins, change any role, make another member an owner, export the workspace and close it.
AdminRename the workspace, edit its settings and creator profile, invite members and viewers, change their roles and access, remove them, manage billing and per-person caps, and open Workspace admin.
MemberCreate, run, publish and share work in the workspace. Workspace settings are read-only.
ViewerRead only: open and review work, but not create or change it.

Only an owner can change an owner's or an admin's role. A workspace always keeps at least one owner who can sign in.

Invite someone

  1. Open Your workspaces and select Administration next to the workspace.
  2. Open Members and roles.
  3. Under Invitations, enter the person's Exact account username, such as @mira.k.
  4. Choose a role: Member, Viewer or, if you are an owner, Admin.
  5. Set Invitation lifetime in days: 7 by default, from 1 to 30.
  6. Select Invite.

The person must already have a Wavemaker account. Wavemaker emails the invitation when they have a verified email address, and it always appears in their app under Invitations to you. Inviting someone again replaces their earlier pending invitation, and someone who is already a member can't be invited. The email links to a page that shows who invited you, the role and the expiry date; accepting still happens in the app, signed in to your own account.

Each invitation is Pending, Expired, Revoked or Accepted. Select Renew for seven days to extend a pending or expired invitation, or Revoke invitation to cancel it. Only an owner can change an admin invitation.

Accept an invitation

  1. Open Your workspaces and find Invitations to you.
  2. Select Review invitation, then Accept invitation.

Joining doesn't change your current workspace and doesn't give access to existing workspace resources. An expired invitation can't be accepted; ask an administrator to renew it.

Resource access

Resource access lets a member open the workspace's existing projects and files and switch into it. To grant it:

  1. Open Members and roles and select Edit membership next to the person.
  2. Check Grant access to all workspace resources.
  3. Select Save membership.

The roster shows All workspace resources or Membership only. Personal provider keys stay private either way. After any change to a role or access, the member signs in again to use it.

Change roles, hand over or remove

  • Change a role: choose a new role in the person's row.
  • Make someone an owner: choose Owner, then Make owner. You stay an owner too. To step down in the same step, check Also hand over: make me an administrator in the same step and enter your password; you both sign in again.
  • Remove a member: open Edit membership and select Remove from workspace. Their work stays with the workspace. Select Undo on the confirmation to bring them back.

Activity and audit, shown to owners and admins, lists every membership change with who made it, the target and the reason.

Leave a workspace

  1. Open the workspace from Your workspaces and go to Lifecycle.
  2. Select Review leaving workspace, read the checklist, then select Leave workspace.

You lose access to its conversations and Library. Your existing work and its accounting stay with the workspace, and your drafts there aren't moved. After you leave, Wavemaker takes you to the sign-in page. If you are the only owner, Review leaving workspace is unavailable until you make another member an owner.

Workspace settings

These pages belong to the active workspace. Owners and admins edit Creator profile; everyone else sees it read-only with a link to see who manages the workspace.

  • General: a link to your own creative defaults, which apply in every workspace, and the current browser session with Sign out of this browser.
  • Creator profile: the workspace's public identity: photo, display name, creator handle (3 to 40 lowercase letters, numbers or dashes, starting with a letter), tagline, about text, portfolio link, location and profile colour. It stays private until you turn on Make my creator profile public. Email addresses and private projects never appear on it.
  • People: members, invitations, activity and lifecycle.
  • Brand and watermark: the workspace logo and the default watermark for its videos.
  • Data and privacy: export or close the workspace. Owner only. See Your data: export, deletion and privacy settings.
  • Workspace admin: sessions and storage for the workspace, for administrators.

Changing a default affects new work only. Existing drafts, links and grants keep their settings.

Your personal settings

These follow you into every workspace.

  • General: your creative defaults and saved presets (up to 30), 18+ content, Agent Rush and your timezone.
  • Profile: your display name, handle, bio, photo (PNG, JPG or WebP) and whether your personal profile is public. Your sign-in email never appears on it.
  • Account and security: email, password, sessions and sign-in methods. See Sign in and keep your account secure.
  • Notifications: choose which optional notices reach your inbox: community activity, when a production finishes or needs your attention, and sales of items you published. Security and billing notices always reach you.
  • Sharing defaults: how long a new share link stays open, from 1 to 30 days.
  • Social: people you have muted or blocked, and your reports and appeals.
  • Appearance: theme, background, video previews and reduced motion. Changes apply at once.

18+ content

Show 18+ material is off by default. When it is on, 18+ items appear in Discover. Turning it on requires an active paid plan: payment is how Wavemaker checks that you are 18 or older. Without a plan, saving the switch is refused. If the switch is on and the plan ends, 18+ items stay visible. The switch only controls what you see: adult stills and video don't need it or a plan. The agent judges from the brief whether it asks for adult work. See Plans and pricing.

Accounts without personal settings

Some older accounts sign in to one workspace only. They see the workspace settings but no personal ones, and Settings shows "Sign in with your personal account for your own settings." Those accounts keep working as before.
